Statute of Limitations Tracker for Law Firms

A missed statute-of-limitations date is a worst-case malpractice event. This tracker watches SOL dates across your matters and escalates alerts at 180, 90, and 30 days. Your firm owns every date. Free n8n workflow, yours to keep.

Import it into n8n

  1. Open the link above and copy the workflow JSON (on n8n.io, use the Copy button; on GitHub, use Raw).
  2. In n8n, open the workflows list, choose Import from URL or Clipboard, and paste it in.
  3. Open each node flagged with a warning and connect your own credentials — none of ours are in the file.
  4. Run it once manually before you activate it, and check the output is what you expect.

How it works

  1. Runs every day on a schedule and fetches the firm’s user directory from the Clio API.
  2. Retrieves pending tasks from the Clio API, keeps only tasks in the configured statute-of-limitations task type with a due date, and calculates days remaining plus an alert tier (180/90/30 days or overdue) with deduping per task.
  3. For tasks that require an alert today, builds an internal email to the assignee (or a fallback address if the assignee is missing/disabled), logs the alert via an external compliance audit workflow, and sends the email via SMTP.
  4. For tasks that are overdue, builds a separate partner escalation email and sends it via SMTP on every run until the task is marked complete in Clio.
  5. Runs weekly on a separate schedule, fetches users and all pending statute-of-limitations tasks from Clio, calculates days remaining for each, and aggregates them into a single rollup
  6. Builds a weekly firm-wide deadline audit email, logs it via the compliance audit workflow, and sends the rollup via SMTP.

Compliance: assisted draft, always reviewed

This drafts from the input you supply. It never sends or files anything, never invents facts you didn’t provide, and carries a hard-coded “Not legal advice — review before use” disclaimer on every output.

Frequently asked

What platform does this run on?

It runs on n8n, a free open-source automation tool you host yourself. Import one workflow file, enter your dates, and connect your alerts. Nothing is locked to us.

Does it calculate the SOL date for me?

No. You enter and confirm each statute-of-limitations date. The workflow watches those dates and escalates alerts. It is a safety net, not a substitute for your own docketing judgment.

Is deadline tracking compliant for a law firm?

Yes. It is an operational reminder tool. It never gives legal advice, never decides which rule applies, and never files anything. Your firm owns and confirms every date.

Can you maintain the rules across my jurisdictions?

Yes. The free version watches dates you enter. Encoding and maintaining rule sets across jurisdictions is a Quick-Win Build, from $1,500, typically live within a week.
