Client acquisition & operations for solo and small firms
Turn the clients you attract into clients you keep.
Most firms do not have a marketing problem. They have a conversion problem: nationally, only about 7% of inquiries become signed clients. We build the systems that capture every lead, turn it into a signed retainer, and keep the matter on track. Flat pricing, one measurable metric, a 60-day guarantee.
Three jobs. One system.
Getting a client, signing a client, and serving a client are three different jobs, and a leak in any one of them costs you the other two. We build across all three, so every marketing dollar turns into signed work and every signed client becomes a review and a referral.
Be found, be trusted, respond first
74% of clients start with a search. 42% of that traffic goes to the Google map pack. Up to 98% read your reviews before they call.
We make sure you show up, look trustworthy, and answer before your competitor does, then win back the clients you lost.
Inquiry to consult to signed retainer
Only about 7% of inquiries become signed clients. A quarter of consults no-show. A simple reminder system drops that to roughly 5%.
We automate the path from interested to signed: instant response, reminders, follow-up, e-sign, and payment.
Run the matter, keep the client
Missed deadlines are the number one cause of malpractice claims, 24.6% of them, and 31% for solos. Poor communication is the top bar grievance.
We surface every deadline, keep clients informed, and turn happy clients into reviews and referrals. We surface and remind. Your judgment confirms.
Start with one system. See it working in about two weeks.
Each one is a Quick-Win Build: one system, a flat price, about two weeks. No Deep Assessment required, we scope it in a single call. Every Quick-Win Build carries an outcome guarantee tied to your numbers, not an industry average.
New Client Capture System
Multi-channel capture, a 60-second auto-response, a conflict-check trigger, booking and CRM tagging, and a 3-step follow-up so no lead goes cold.
Lost Client Win-Back System
Surfaces dormant clients and re-engages them compliantly by matter type, from renewals to annual reviews to filing deadlines.
Consult-to-Retainer System
Consult reminders that cut no-shows, structured follow-up, e-sign with retainer and payment, and a clean CRM pipeline.
Reviews & Reputation System
Compliant post-matter review requests with no gating, review monitoring, and a steady Google Business Profile posting cadence.
Deadline Safety System
Surfaces every deadline with reminders, matter-stage triggers, and a status-at-a-glance view, plus billing-hygiene nudges. We surface and remind. Your judgment confirms.
Client Update System
Automated status updates, milestone touchpoints, and auto-drafted client emails that you review before they send.
Every Quick-Win Build ships with a measurable goal we set together. If it is not hitting the number, we keep working.

Done-for-You Acquisition & Operations Build
$5,000 to $15,000 · 4 to 8 weeks
Your client-acquisition operating system: the one or two systems we scoped in the Deep Assessment, connected across capture, conversion, delivery, and win-back, built on your stack and tuned to your practice area. Your team is trained by our engineers, with 30 days of post-launch support included.
We agree on one measurable success metric before we start, usually signed clients per month, no-show rate, or hours returned. We baseline it, write it into the SOW, and build to hit it. If your build is live for 60 days and has not hit the number, we keep working at no charge until it does, or we refund your project fee minus documented third-party costs. You keep everything we built. We review the numbers together at day 30 and day 60.
Before the Build: the Deep Efficiency Assessment ($1,500 to $2,500, 1 to 2 weeks) is a working session, not a sales call. We audit your funnel and operations across all three pillars, baseline the numbers, and hand you a scoped SOW with the ROI target. It credits 100% toward a Build within 60 days.
Fractional Advisory
$1,000 to $3,500/mo · 3-month minimum
An operations partner on call. We keep your systems running and improving, watching the metrics that matter (cost per signed client, no-show rate, review velocity, deadlines surfaced, and hours returned) and building small upgrades as your practice grows. The ongoing help you would want, without a hire.
Workshops & CLE
$300 to $2,500
CLE-format sessions and half-day team training, including a topic on client acquisition that stays within Rule 7.3. Practical, bar-compliant, no vendor pitches.
Acquisition automation that respects Rule 7.3.
Most growth tools will happily put your license at risk. We will not. Every system we build is reviewed against ABA Model Rules 7.1 to 7.3 and your state bar guidance, and there are plays we simply refuse to build.
The plays we do build, local visibility, inbound capture, consult conversion, compliant reviews, client communication, deadline surfacing, and prior-client win-back, are the ones that actually move signed-client numbers, and they keep you firmly inside the rules.

Common questions
A Quick-Win Build is one system, a flat price, and about two weeks, with no Deep Assessment required. The full Build is one or two connected systems scoped from an Assessment, 4 to 8 weeks, with the 60-day SOW-metric guarantee. Many firms start with one Quick-Win Build and move to a full Build within 90 days, once it surfaces the next gap (CRM nurture, engagement-letter assembly, multi-practice routing) that needs a bigger scope.
Yes, in almost every case. The Deep Assessment is where we baseline your current numbers, pick the success metric, and scope the SOW. Without it, we can’t write a Build guarantee we’d stand behind. The $1,500 to $2,500 fee credits 100% toward a Build if you move forward within 60 days. (A Quick-Win Build is the one exception. It is scoped narrowly enough that one call is enough.)
During the Deep Assessment we pick one success metric with you. Usually hours returned per week (measured from your timekeeping software) or lead response time (measured from intake timestamps). We baseline it, write it into the SOW, and build to hit it. If your build is live for 60 days and hasn’t hit the number, we keep working for free until it does. Or we refund your project fee minus documented third-party costs (software licenses, API usage). You keep everything we built. We review the numbers together at day 30 and day 60.
Clio, MyCase, PracticePanther, Filevine, and most major legal practice management platforms. For automation we use n8n (self-hosted, privacy-first) and Make. We build custom integrations when the off-the-shelf ones don’t fit. We’re tool-agnostic.
Every recommendation we make is reviewed against ABA Opinion 512 and your state bar’s published guidance. That review is part of the Deep Assessment deliverable. Our compliance review covers the priority immigration states (New York, Florida, Texas, California, and Illinois) and we work to your state bar’s published AI guidance wherever you practice. We do not use tools or patterns that put your confidentiality obligations at risk.

Where it fits the job honestly, yes. Intake triage, follow-up drafting, and dormant-client surfacing often use AI components. Where simpler automation does the job better, we use that instead. Every AI component is reviewed against ABA Opinion 512 and your bar’s guidance before it goes live. We don’t use AI where it creates more review work than it saves.
Yes. We have CLE-ready topics covering operations, automation, tool evaluation, and ABA Opinion 512. Sessions are tailored to your audience. See our Speaking page for topics and booking.
